Can't figure this handover - Explained.

I'm doing the Paranid unification questline and am at the stage where I deliver a number of ships to a specific location. I've tried flying the ship there, getting another pilot to do it... leaving the ship etc but it won't update. Am I doing something wrong? I did get a a message originally that the ship was the correct configuration but I need something else. I just made the one ship so far. Not going to make the whole batch if there's no point. The specs are exact.

recently played this bit.

in the ship-construction interface, there should be a specific "loadout" that will fit the mission requirement (no more notepad required )

letting the Ai pilot fly to the target area should be fine. updating the mission might take a few seconds, but it should update whilst the ships are being flown into the target area.
